Turning receipt photos into accounts automatically: how AI receipt processing works, how accurate it is, and what it costs
The short answer: yes, it works, and it is one of the quickest AI automations for a small business to see results from. Staff photograph a receipt into a set folder or forward it to a set email address; AI reads the date, merchant, amount and category and writes them into Excel, Google Sheets or your accounts sheet. AI is not 100% accurate, so you decide which cases a person should check. A single workflow starts from HK$5,000, with simple projects delivered in as little as 2 days.
How the workflow runs
- Collect: staff photograph receipts with their phones into a shared folder (such as a cloud drive), or forward electronic receipts to a set email address.
- Read: AI reads the photo: date, merchant, amount, payment method and receipt number, then sorts it into your company's expense categories.
- Check: the system applies rules, flagging for a person anything over a set amount, with an odd date, or entered twice.
- Record: confirmed data goes into your existing Excel, Google Sheets or system, and the original photo is filed by month.
The point is to use the sheets and categories you already have, so staff do not learn a new system and your accountant does not change how they work.
How accurate is it, and where does it go wrong?
For clear printed receipts, AI is generally very accurate. The usual trouble spots are:
- Poor photos: glare, folds, cropped edges, faded thermal paper.
- Handwritten receipts: from markets or small shops; messy handwriting leads to misread numbers.
- Several receipts in one photo: AI may treat them as one.
- Unclear categories: the same supermarket can sell stationery and food, so the merchant name alone may not be enough.
That is why we do not promise an accuracy figure. Instead we design a workflow where AI does most of the work and people check a small part: anything unclear, large or outside the rules is flagged for a colleague, and the rest goes straight in. Before starting we measure how long manual entry takes now (the baseline), so you can see exactly what was saved.
What does the Inland Revenue Department say about keeping photos?
According to the Hong Kong Inland Revenue Department, section 51C of the Inland Revenue Ordinance requires anyone carrying on a business in Hong Kong to keep sufficient records of income and expenditure in English or Chinese, including vouchers, bank statements, invoices and receipts, for at least 7 years. Failing to do so without reasonable excuse can lead to a maximum fine of $100,000.
A separate IRD leaflet confirms that scanned images of original documents are acceptable instead of keeping the paper originals, provided several conditions are met, including:
- The records stay complete and unaltered, and can be displayed legibly later
- Files use the formats specified under the Electronic Transactions Ordinance
- Scanning, storage and disposal of originals are done or supervised by a responsible person in the organisation
So an automated workflow must keep the original photos, not just the numbers AI extracted. Check with your accountant before disposing of paper receipts.
What it costs
- Single workflow: from HK$5,000, in as little as 2 days. For example, "receipt photo → Google Sheets".
- Multiple workflows: from HK$15,000, about 2–3 weeks. For example, receipts plus timesheet payroll and quote follow-up, connecting email, cloud drives and existing systems.
- Usage fees: AI reading is usually charged by usage. Each receipt costs very little, but it adds up over a month, so we estimate it from your monthly receipt volume when quoting.
A real example: we automated receipt records and timesheet payroll for a local art studio. Staff used to spend over ten hours a month on data entry and pay calculations; now a photo dropped into a folder updates the accounts and payslips, saving over ten hours every month. Where do people usually get stuck?
- An off-the-shelf tool works for a few receipts, but with more the categories get messy and every entry needs fixing
- The same receipt is entered twice, and nobody notices until month-end reconciliation
- Only the Excel numbers are kept, while the original photos are scattered across staff phones
- Not knowing how to connect the results to the sheets and accounting process the company already uses
