- Excel

Automating payroll from timesheets: from punch cards to payslips
The short answer: yes, it can be done. Whether you use punch cards, a time clock or phone check-ins, the records can be read in automatically, hours, overtime, leave and deductions calculated by your company's rules, and a payslip produced for each person along with a summary sheet. The key is not how clever the AI is, but writing your pay rules down clearly first. A single workflow starts from HK$5,000, with simple projects delivered in as little as 2 days.
How the workflow runs
- Collect timesheets: time-clock export files, phone check-in records or photos of punch cards go into a set folder.
- Read and tidy: AI reads the clock-in and clock-out times from punch-card photos; time-clock files are read directly. Everything becomes one row per person per day.
- Calculate by rule: normal hours, overtime, lateness, leave and deductions are calculated using your company's rules. This step uses fixed formulas, not AI guesses.
- Flag exceptions: missed punches, unusually long shifts and clashes with leave records are flagged for the responsible colleague.
- Payslips and summary: once confirmed, a payslip is produced for each person, plus a summary for the owner or accountant.
We did this for a local art studio, automating both receipt records and timesheet payroll. Staff used to spend over ten hours a month on data entry and pay calculations; now a photo dropped into a folder updates the accounts and payslips, saving over ten hours every month, and the calculation errors are gone.
Where errors usually creep in
- Missed and corrected punches: forgotten check-ins and handwritten corrections cause the most disputes.
- Overtime rules: how many minutes before overtime counts, how it is paid, and whether it needs approval differ from company to company.
- Holidays and leave: how sick leave, annual leave, statutory holidays and other leave affect the month's pay must match the leave records.
- Part-time and shift work: hourly rates, overnight shifts and different rates for different hours are where manual calculation goes wrong most.
- Handwritten punch cards: unclear or altered entries need a person to check if the AI misreads them.
That is why, before building anything, we write down your pay rules one by one with you. The calculations use fixed formulas, and AI only reads the punch-card photos. Every exception is flagged for a person to check, and the responsible colleague confirms before pay goes out.
What the law requires for wages and records
After automating, these requirements still apply (information as of October 2026; sources at the end):
- Payment deadline: according to the Labour Department's Concise Guide to the Employment Ordinance, wages become due at the end of the last day of the wage period, and employers should pay as soon as practicable and in any case no later than seven days after the end of the wage period.
- Wage and employment records: employers must keep a record of each employee's wage and employment history for the preceding 12 months, including wages paid for each wage period, the wage period, and leave and holidays with related payments; records must be kept for another six months after the employee leaves.
- Tax records: according to the Inland Revenue Department, business owners must keep business accounting records, including payroll records, for at least 7 years.
So the system must keep the original timesheet records, each month's calculations and the payslips, not just the final figures. Confirm retention periods and arrangements with your accountant.
What it costs
- Single workflow: from HK$5,000, in as little as 2 days. For example, "time-clock file → hours calculated and summary produced automatically".
- Multiple workflows: from HK$15,000, about 2–3 weeks. For example, payroll plus receipt entry, connecting email, cloud drives and existing systems, with one staff training session and before-and-after measurement.
For receipts, see Turning receipt photos into accounts automatically. Employee details are personal data; for what to watch, see Is it safe to use AI on company data?.
Where do people usually get stuck?
- Excel formulas keep growing until nobody else can follow them
- Overtime, leave and part-time rates have too many exceptions for formulas to handle
- Time-clock exports are messy and need tidying by hand every month before pay can be calculated
- Not knowing how to produce each person's payslip automatically once the numbers are done
