4. 寫 Excel/Google Sheets 公式

10 practical ways Hong Kong SMEs can use AI tools (with example prompts)
The short answer: AI tools are best at drafting, organising and rewriting: quote wording, emails, meeting notes, Excel formulas, Chinese–English translation and more. You do not need to code, and you can start today. Each of the 10 uses below comes with an example prompt you can copy and fill in with your own details. Two rules: a person must check anything AI writes before it is used, and do not paste customer or employee personal data in casually.
First: which AI tool can you use in Hong Kong?
According to OpenAI's official list of supported countries and territories, Hong Kong is not among the places where ChatGPT is supported, and OpenAI says use outside the listed locations may lead to accounts being blocked or suspended. Microsoft's official help page says Microsoft Copilot is available in over 170 markets, with exceptions such as mainland China, which it states excludes Hong Kong SAR. (Information as of October 2026; sources at the end.)
Before choosing a tool for your company, check that the service is officially offered in Hong Kong and how it handles what you enter. The prompts below work in most AI tools.
1. Write a quote or service description
"We are a Hong Kong interior design firm. Using the details below, write a 150-word service description, professional but friendly: scope ___, delivery time ___, prices from ___. Do not add anything I have not provided."
The last sentence matters: it stops the AI inventing services and figures.
2. Adjust an email's tone (Chinese or English)
"Here is an email I wrote to a supplier. Make it more polite and concise, and keep every date and amount unchanged: ___"
3. Organise meeting notes
"Here are rough notes from a meeting. Organise them into three parts: key points, decisions, and action items with owners and deadlines. Mark any action item without an owner as 'no owner yet': ___"
To go further and produce minutes straight from a recording, see Turning meeting recordings into minutes.
4. Write Excel or Google Sheets formulas
"Column A of my sheet is the date, column B the category, column C the amount. Write a formula that totals the 'Transport' category for October 2026, and explain how each part works."
5. Translate and rewrite between Chinese and English
"Translate the following Chinese into business English for overseas clients, keeping proper names in the original. Afterwards, list any terms you were unsure about: ___"
Asking the AI to list its uncertainties tells you where to focus your checking.
6. Write a job advertisement
"Write a job ad: position ___, duties ___, requirements ___, location ___. Give Chinese and English versions, each under 200 words."
Check it yourself before posting to make sure it contains no discriminatory requirements.
7. Social media posts
"We are launching ___ next week. Write 3 Instagram posts from different angles, each under 80 words, with 3 relevant hashtags, in a relaxed tone."
8. Summarise customer feedback
"Here is customer feedback (names and phone numbers removed). Group it into 3 to 5 themes, with a count and one representative comment for each: ___"
Before pasting, remove names, phone numbers, email addresses and anything else that could identify a person.
9. Write a standard operating procedure
"Turn the following steps into an SOP a new colleague can follow, numbered, with the person responsible and documents needed for each step: ___"
A clear SOP is also the first step towards automating a workflow later.
10. Website FAQs
"Here are the questions customers ask most and our answers. Turn them into a website FAQ, with 2 to 3 sentences per answer, answering the question in the first sentence: ___"
Clear FAQs are easier for Google and AI search to quote; see How do you get ChatGPT and Google AI Overviews to recommend your company?.
Three rules for using AI tools
- You supply the facts: tell the AI to use only what you give it, and not to invent figures or services.
- A person always checks: AI can be wrong; check every date, amount and name.
- Be careful with personal data: remove or mask customer and employee details first, and standardise on approved tools; see Is it safe to use AI on company data?.
Where do people usually get stuck?
- Having to paste the data and retype the prompt every time, so after a while nobody bothers
- The AI's output format changes every time and needs tidying by hand
- Wanting AI results written into Excel or company systems automatically, but not knowing how to connect them
- Colleagues each using different tools, with no way of knowing who pasted what
