Turning meeting recordings into minutes automatically: how it works, accuracy and privacy
The short answer: yes, it can be done. After a meeting, drop the recording into a set folder and AI turns the speech into text, then organises it into minutes: key points, what was decided, who follows up and by when. AI is not 100% accurate word for word, so a person should check the minutes before they go out. Meeting recordings contain participants' voices and what they said, which may involve personal data, so think through collection, retention and security before you start. A single workflow starts from HK$5,000, with simple projects delivered in as little as 2 days.
How the workflow runs
- Record: use a phone, a meeting-room microphone or your video-call software, and tell participants before the meeting that it will be recorded and why.
- Transcribe: the recording goes into a set folder, and a speech-to-text service produces a transcript.
- Organise: AI arranges it in your company's format: attendees, agenda, key points, decisions, action items and owners.
- Check and send: the responsible colleague reads it once and corrects mistakes; only then is it sent to participants or saved to a shared folder.
- Follow up: action items can also be written into Google Sheets or your existing task list, so nobody has to copy them by hand.
How accurate is it, and where does it go wrong?
When one person speaks clearly, transcription is generally quite accurate. Mistakes are most likely with:
- Mixed Cantonese and English: Hong Kong meetings often switch languages mid-sentence, and product names and English abbreviations are easily mis-transcribed.
- People talking over each other: interruptions make it hard to tell who said what.
- Poor audio: sitting far from the microphone, air-conditioning noise, choppy video calls.
- Jargon and names: product names, client names and colleagues' nicknames the AI has never heard, so it guesses.
The step where AI writes up the minutes can also go wrong: recording "we are considering" as "we decided", or missing an owner for an action item. So when we design the workflow, we give the AI a list of common terms and names in advance, link decisions and action items to timestamps in the recording for easy checking, and always have a person confirm before anything is sent. Before starting we measure how long a set of minutes takes now (the baseline), so you can see exactly what was saved.
Privacy points to watch
Hong Kong's Personal Data (Privacy) Ordinance has six Data Protection Principles. According to the Office of the Privacy Commissioner for Personal Data (PCPD), these are the most relevant to meeting recordings:
- Collection (DPP1): personal data must be collected for a lawful purpose directly related to your functions and must not be excessive; when collecting directly, tell the individuals the purpose. In practice: say before the meeting that it will be recorded and what for.
- Retention (DPP2): data should not be kept longer than necessary for its purpose. In practice: decide how long recordings and transcripts are kept, for example deleting the recording once the minutes are confirmed.
- Use (DPP3): data must not be used for a new purpose without the individual's prescribed consent. In practice: use the recording only for the minutes, not for something else later.
- Security (DPP4): take practicable steps to protect data against unauthorised or accidental access, processing, erasure, loss or use; when a processor handles it, protect it by contract or other means. In practice: check where your transcription and AI services store data and whether they use it to train models, and limit who can access recordings.
In March 2025 the PCPD also published a Checklist on Guidelines for the Use of Generative AI by Employees. It recommends that organisations specify which AI tools may be used, what information may be entered, how outputs are stored and used, and that staff verify the accuracy of AI outputs. If each colleague uploads meeting recordings to a different free tool, none of this is easy to achieve.
Before every project, we write down where data is stored, where it goes and how long it is kept, and confirm it with you before work starts.
What it costs
- Single workflow: from HK$5,000, in as little as 2 days. For example, "recording into a folder → draft minutes produced automatically".
- Multiple workflows: from HK$15,000, about 2–3 weeks. For example, minutes plus receipt entry or quote follow-up, connecting email, cloud drives and existing systems, with one staff training session.
- Usage fees: speech-to-text and AI are usually charged by usage, so longer and more frequent meetings cost more each month. We estimate it from your monthly number and length of meetings when quoting.
For a fuller cost breakdown, see How much does AI automation cost for Hong Kong SMEs?. To start with receipts instead, see Turning receipt photos into accounts automatically.
Where do people usually get stuck?
- Transcripts of mixed Cantonese and English meetings have so many errors that fixing them takes as long as writing from scratch
- Not knowing where a free tool stores recordings, or whether it uses them to train models
- Every colleague uses a different tool, so minutes are inconsistent and action items are scattered
- Recordings stay on phones and in the cloud indefinitely, with nobody responsible for deleting them
